Outsourcing company processes
Outsourcing of administrative and back office processes is an opportunity for companies. Roberta and Alessandra Rostagno explain how a service that allows you to save time and resources functions
by Luca Cavera
The administrative activities that businesses are required by law to carry out bear down heavily on the organization and division between the various resources. Often, these activities – necessary, but secondary – weigh so much on the business that they take time and staff away from specific core business duties. This problem involves the strongly structured companies to the same extent as those with an essential organization.
The first ones are often too large and branched out to ensure the flexibility designed to handle massive documentation, while the second ones lack dedicated and trained figures.
Office Problem Solving companies have been created from these needs, specialized in the outsourcing management of business processes and able to reply to both types of businesses. As Alessandra Rostagno, owner of the Comete company along with her sister Roberta explains: «Our aim is to leave inside our partner companies everything that regards their core business and to deal with the administrative and secondary back office part, which often, is the most onerous. Outsourcing these activities means freeing hours, staff and saving resources».Roberta adds: «Generally activities not directly inherent to the core business are co-managed on inside staff shifts.
This signifies that a certain work mass must be “spread” among different people as they cannot dedicate all of their time.
Instead by outsourcing these duties to companies like ours, the same work mass is appointed to a sole operator. In this manner, to scale, we are able to dispose of the same amount of work with a lesser number of people and in a shorter period of time – this is thanks to our flexibility and organization for specialized work groups».
Therefore the service performed by Comete is close collaboration with businesses, with the advantage, however, of being transferred outside and organized in an independent manner, with the guarantee of certain times, control and output requirements. «Bench is useful for businesses – Alessandra explains – , our service is not yet an easily recognizable product and this is why we propose ourselves directly to the customer. Once we have a contact, an organizational problem or one of arrears is presented to us. This initially implicates an organizational phase, both for the disposal as well as support – that is, work so as to not generate further arrears.
Our activity is typically desk work, performed mainly through terminals, also because our partners are moving more and more towards digitization of the paperwork, control phases and archives. Generally paper is used less in favour of digital documents, managed by management software. This push towards technology allows us also to be able to work directly from our offices in Cuneo on paperwork taken from all around Italy. We are specialized in the banking sector, but we also operate in many other sectors with suitable structures. In any case we are always ready to reorganize ourselves to meet the specific demands of a new partner. Roberta, in
conclusion, provides some data: «On the massive documental control side, we manage 180,000 accounting registrations and 80 thousand files per year. Before this work mass was managed entirely on paper support. Progressively, together with our customers,we have moved towards better computerization and today we manage everything in a digital manner, with great savings on paper and ink and therefore resources».
OUR ACTIVITY IS DESKWORK, PERFORMED BY TERMINALS, ALSO BECAUSE OUR PARTNERS ARE MOVING MORE AND MORE TOWARDS DIGITIZATION
